AI Documentation & Knowledge Base Specialist

We're looking for an experienced AI Documentation & Knowledge Base Specialist to help us organize, modernize, and rebrand our company's internal knowledge base.

This position requires hands-on experience with Claude and Gemini. Experience with ChatGPT is a plus, but Claude and Gemini are required.

About the Project

Over the years, we've built an extensive library of SOPs, workflows, templates, checklists, marketing strategies, client resources, and internal documentation across Canva and Google Docs. Our goal is to transform these internal resources into a polished, client-facing knowledge library that is fully branded, organized, and easy to navigate inside our client portal.

This is not a content creation role. The information already exists. Your responsibility is to help us organize, update, and package it professionally.

Responsibilities

• Review and organize documents from Canva and Google Docs.

• Use AI tools (primarily Claude and Gemini) to extract, summarize, organize, and restructure existing documentation.

• Remove outdated or duplicate information.

• Update documents where information needs to be refreshed.

• Rebrand all documents using our current visual identity and branding guidelines.

• Ensure formatting, layouts, and design remain consistent throughout the library.

• Organize finalized resources into our client portal following our existing structure and methodology.

• Follow established systems and documentation standards with a high level of accuracy.

Required Skills

• Strong working knowledge of Claude and Gemini (required).

• Comfortable using AI to organize, analyze, summarize, and restructure documentation.

• Experience managing large documentation projects.

• Strong organizational skills and attention to detail.

• Experience with Google Docs and Canva.

• Ability to work independently while following detailed instructions.

• Excellent written communication and formatting skills.

Who We're Looking For

We're looking for someone who already understands how to leverage AI effectively. We are not looking to teach someone how to use Claude, Gemini, or AI-assisted workflows. You should already know how to prompt, organize, extract information, and streamline documentation using these tools.

We'll provide existing documentation, branding assets, an organizational framework, clear expectations, and access to the systems you'll be organizing. Your job is to execute efficiently and keep everything consistent.

Opportunity for Ongoing Work

This is initially a 30-day contract, but there is strong potential for additional work if it's a good fit.
